Office clearance checklist for Dubai businesses
Office clearances run to a lease date and a landlord's handover condition. Work backwards from those two things and the rest follows.
An office clearance is a scheduling problem wearing the costume of a lifting problem. The lease ends on a fixed date, the landlord has a defined handover condition, and the building will only let you move bulky items in a narrow window. Everything else is logistics around those three facts.
This checklist is ordered by lead time, longest first.
Step 1: read the handover clause
Before anything else, find out what condition the unit has to be returned in. There is a large difference between "vacant and clear" and "returned to shell", and the second one means partitions, flooring and fit-out elements come out too.
This single clause determines the scope, the cost and how long you need. Send it to whoever is quoting the clearance rather than describing it from memory.
Step 2: talk to the facilities manager
Commercial buildings in Dubai are stricter than residential ones. Expect a contractor permit issued through the facilities manager, a booked goods lift with a fixed window, mandatory floor and lift protection, and in most towers a rule that bulky movement happens outside office hours entirely.
Loading bays are usually shared with every other tenant, so slots are finite and an over-run can lose you the booking. This is the constraint that most often decides the date, so start it early.
- Contractor permit and any insurance documentation the building requires
- Goods lift booking — a block of time, not a single slot
- Permitted working hours for bulky movement
- Loading bay access and any vehicle size or height limit
- Protection requirements for lifts, floors and lobbies
Step 3: deal with data before anything moves
This is the step with the most downside if it is skipped. Data erasure is not part of a standard clearance, and a removal crew is not the right control point for it.
Have IT wipe or physically remove drives from desktops, laptops, servers and multifunction printers before collection day. Printers and copiers hold data more often than people expect. If you need certified destruction, arrange it as a separate, documented service and confirm it before the clearance is booked.
Step 4: separate what is not yours
Leased equipment, landlord fixtures and branded items all carry conditions, and all of them are easier to identify while the office is still standing than once a crew is loading.
- Landlord fixtures that must remain — mark them clearly
- Leased printers, coffee machines and IT under a return agreement
- Branded stock or signage with disposal conditions attached
- Anything going to a new office rather than being disposed of
Step 5: brief your own people
Give staff a deadline to clear desks, lockers and pedestals, and make it earlier than you think you need to. Personal belongings left in a pedestal on clearance day are either removed with it or hold the job up while someone finds the owner.
Nominate one on-site contact for the clearance itself, with authority to make decisions. A crew that has to escalate every question loses the goods lift slot.
Step 6: book the clearance to the building's window
With the handover condition understood, the permit in hand and the lift booked, the clearance itself is straightforward. Most run in the evening or across a weekend, and the unit is left clear and swept for the landlord's inspection.
If the handover condition requires a strip-out, allow noticeably more time than a furniture clearance — partitions generate a large volume of debris, which is priced by weight and often has to be bagged before it goes near a lift.
